Digital Project Manager

Reports to: Chief Operating Officer
Location: Work from home with travel as required.  UK based only
Contract: 37.5 hours per week. Competitive salary. (with occasional weekend and out of hours)

Formula Botanica is the award-winning online teaching institution for organic cosmetic formulation and indie beauty entrepreneurship. We are on a mission to teach the world to formulate their own skincare, haircare and beauty products and have taught over 20k formulators in 190+ countries to date. We empower our students with the skills to change their lives by learning to make organic skincare, haircare and make-up and then turning those formulations into a business. Some of our graduates have launched beauty brands that are now stocked in Boots, Sephora or Target.

We have an opportunity for an organised, efficient and highly proactive individual to support the marketing initiatives at Formula Botanica in project managing and coordinating campaigns and launches around school enrolment periods. You must have an excellent eye for detail, the ability to oversee tasks and actions across teams and departments to ensure the efficient and effective delivery of launches.

The role requires you to:

  • Take control of our launch tasks and processes to ensure projects are kept on track
  • Oversee every task and activity by ensuring each action is assigned and delegated to the relevant owner with deadlines set
  • Continually monitor progress for each task to ensure timelines are kept
  • Regularly report across the school as campaigns progress to optimise efficiency and minimise confusion around activities
  • Review and refine processes so that they continually develop and improve

The annual Launch schedule is subject to change, but currently includes:

  • Masterclass x 2
  • Lab Webinars x 3
  • Term Time x 2

Key responsibilities:

Campaign Planning and Strategy:

  • Collaborate with the marketing team to develop comprehensive plans and strategies for successful school enrolment campaigns
  • Help to define project scope, goals, and deliverables and ensure the tasks are mapped out for each team to reach targets and deadlines

Project Coordination:

  • Act as the primary point of contact for all campaign-related activities
  • Create and own the master launch board (an extensive, comprehensive task list in Monday)
  • Update and set up all tasks and milestones
  • Coordinate tasks, timelines, and resources across multiple teams, ensuring effective communication and collaboration
  • Schedule all the launch related meetings, and book key dates into team diaries (filming, copywriting, editing)
  • Ensure the wider team’s Monday boards are aligned with the master launch task board and are kept up to date and on track
  • Hold weekly meetings throughout the year to continuously plan and monitor launch activities
  • Complete the task checklists and sign off milestones
  • Hold daily (All Hands) launch meetings during campaign open cart periods

Timeline Management:

  • Develop and maintain detailed project timelines, ensuring all tasks are completed on schedule.
  • Proactively identify and address potential bottlenecks to keep campaigns on track

Cross-Functional Collaboration:

  • Work closely with marketing, content creation, education, community, design, student support and systems teams to integrate efforts, and ensure comms correctly cascaded
  • Foster a collaborative environment that encourages creativity and seeks the most efficient steps towards successful campaign delivery

Reporting and Analysis:

  • Monitor campaign performance and provide regular reports
  • Conduct post-campaign analysis to identify areas for improvement and best practices

Problem Resolution:

  • Address any issues or challenges that arise in pre/planning stages and during campaigns promptly and effectively
  • Implement corrective actions to maintain campaign momentum

Launch task coordination is focused on ensuring the teams are on top of their tasks, these include (but not limited to):

  • Ensuring planning meetings are scheduled, held and notes circulated.
  • Campaign plans scoped, produced and signed off.
  • Email campaigns scheduled, written, proofed and delivered.
  • Social media and community communications planned, proofed and published across social platforms.
  • Communications sent to supplier, affiliate and other third parties.
  • Live and pre recorded webinar events kept on track with planning, presentations created, and scheduled using relevant platform.
  • Content creation planned and on track: blogs and educational marketing materials. Writers briefed, documents signed off, design and proof reading completed and scheduled for publish.
  • Marketing activities scheduled for Ads, SMS and push notifications.
  • Site updates, landing pages built, system updates.

About you

You’ll have excellent communication skills to ensure campaign messaging is consistent and clear, and you’ll establish trust across the team. You’ll need to be an active listener with the ability to influence, keeping everyone motivated and on schedule.

Remaining calm under pressure, you’ll be able to prioritise tasks and have the confidence to chase outstanding actions – from any member of the company!

You’ll be flexible with your time, knowing that you might have to work occasionally at the weekend or evening (time will be given back in lieu). You’ll have proven project management experience, ideally from working within a fully remote company.

Qualifications/skills:

  • University educated or recognised Project Management qualifications
  • Proven experience in project management (ideally in marketing, SAAS or education) minimum 3 years.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Familiarity with the skincare or beauty industry is a plus.
  • Proficient in project management tools and software.
